Specifying "Standard Package" Quantities

Misunderstandings and/or errors may result when standard package order quantities are not clear. In order to reduce the potential for error, Union Pacific will include space on the bid form for the supplier to show its standard package quantity, where applicable. When the business is awarded, purchase order quantity will be in multiples of the standard package quantity. In addition to specifying standard package quantities on the bid, suppliers should:

  • Notify the purchasing representative of changes to standard package quantity.
  • Notify the purchasing representative if the purchase order does not reflect the standard package quantity.

Responsibilities Regarding "Standard Package" Quantities

It is the Supply Department's responsibility to provide space on the bid for the supplier to indicate standard package quantity and to issue the purchase order in multiples of the standard package. It is the Supplier's responsibility to specify standard package quantities on the bid and notify the purchasing representative of any changes or problems with the standard package quantity.

The Details of Item Specification

Design specifications, performance specifications and/or drawings are provided for some items purchased by Union Pacific. Items with such specifications require that particular attention be paid to the specification details.

Responsibilities Regarding Item Specification

It is the Supply Department's responsibility to consistently provide internal railroad customers with material that meets or exceeds their expectations and to clearly communicate all specifications, as well as changes to these specifications, to suppliers.

It is the Supplier's responsibility to advise the purchasing representative in writing of any change or proposed change to an existing specification and to obtain written approval by Union Pacific prior to initial shipment of the material. Internal railroad customers have the responsibility to provide the correct design specifications, performance specifications and/or drawings to the Supply Department.
